1. Which data from a TimeMoto Cloud 1 (TM1) account migrates to TimeMoto Cloud 2 (TM2)?

  • Users list (see 1 in the image below), including settings from their user profiles; in TM2, users are called employees.

  • Departments (see 2).

  • Locations (see 3).

  • Projects (see 4).

  • Pay Classes (see 5); now called pay templates in TM2.

  • Devices (see 6), whether from the TimeMoto line or a Safescan TA-8000 model, including device name, serial number, assigned location, and configured clocking sequence.

  • Notification settings (see 7).

  • Company Data (see 8), which can be reviewed and edited during the migration if necessary.

For example, if the migration date is 01-09-2025, in TM2, the user’s assigned schedule and absences saved in the Planning calendar will only be copied (and displayed) from that date onward, not applied to past dates.

2. Which data from a TimeMoto Cloud 1 (TM1) account does not migrate to TimeMoto Cloud 2 (TM2)?

  • Clocking actions will not migrate from TM1 to TM2.

  • Clocking actions already stored on your time clock(s) will not be synchronized (uploaded) to TM2 once connected.

  • Overtime balance will not be transferred and must be entered manually in TM2 (only Plus license/plan).

  • Assigned schedules, as well as schedules or absences saved in Planning before the migration date, will not be transferred.


For this reason, it's essential that you export any necessary data from your TM1 account. The following section covers how to do it and other key considerations.

3. How do I export data from my TimeMoto Cloud 1 (TM1) account?

Primarily from:

  • Reports > Timesheet (in PDF or Excel/CSV), or

  • Reports > Events (in Excel/CSV).

If you need to export data for all users from the start (since the account’s registration), please divide the reports preferably into periods of no more than three months each, although this may vary depending on the number of users and the amount of data to load. This helps to avoid latency in report generation.

PDF reports for large data ranges may take 1–2 minutes, while Excel/CSV are usually faster.

First, filter by Users: All, then select a period (e.g., up to three months) in Range. Once the report data loads, click the Export icon to generate the report in one of the available formats.

From Reports > Events, it’s also possible to export data for users with current Inactive state.

First, filter by User State: Inactive, then select the period to export in Range (depending on how many of inactive users there are, you can even filter all periods at once). Once the report data loads, click the Export icon to generate the report in Excel or CSV format.

 Both Timesheet and Events include clocking actions, but there are other types of reports available depending on the data you’re interested in. For more information about the different report types, please visit:

 After the migration date, you’ll have one additional month of access to your TM1 account to export any pending data.

4. How do I start the migration, and what happens during the process?

The migration process is designed to be completed by the customer without assistance.

 

The migration is divided into two parts:

1)     Data transfer from TM1 to TM2.

2)     Connection of the time clock(s) to TM2.

 

1) Data transfer from TM1 to TM2:

Data that migrates will be transferred to your new TM2 account as soon as this part is completed. 

·       The migration (update) invitation email includes a link to initiate the process. As the first step, you’ll be asked to register an account in TM2 using the same main email address as your TM1 account.

·       Once you log in to your new TM2 account, you can start the migration flow, and the system will guide you through the process.

Throughout the process:

  • You’ll be able to review and edit your company/organization information.

  • The details of your new plan, including the applied discount and pricing information, will be displayed (see page 12). You will have the option to modify your plan if needed.

  • You'll set up your preferred payment method (see page 13).

  • You'll have to schedule the connection of your time clock(s) by selecting your preferred date and time frame. The time clock(s) connection date marks the start of full operation in TM2.


For example, the data transfer occurs on 30-07-25, but the time clock connection is scheduled for 01-07-25 between 12:00 AM and 6:00 AM.

Ø  Please schedule the connection of the time clock(s) for a date no later than one week after the data transfer.

  • As the final step, you can automatically send invitations to all employees at once (those who have assigned emails in TM1) to activate their TM2 accounts, or you can choose to send invitation manually (one by one) after the migration.

This invitation is required for employees who had access to TM1 to view their own data (privilege: User), administer the system (privilege: Supervisor — called Manager in TM2 — or Manager — called Unit Supervisor in TM2), and/or have authorization to clock in online, so they can continue to do so in TM2 (see page 11).

5. What can I do after the migration, and for how long?

As stated in the previous section, the migration is divided into two parts:

1)     Data transfer from TM1 to TM2.

2)     Connection of the time clock(s) to TM2.

 Although you will still have access to your TM1 account for one additional month to export necessary data, please note that there are some important considerations to keep in mind both after the data transfer and after the time clocks are connected to TM2.

 

Once the data transfer is completed:

o   Any subsequent changes to user profile data (e.g., RFID number, PIN), schedule templates, schedule or absence planning (only Plus), holiday balance (only Plus), and any other account settings will no longer be transferred to TM2. That's why we advise to schedule the connection of the time clock(s) for a date no later than one week after the data transfer.

o   If deemed necessary, you will still be able to add or edit clocking actions to ensure all entries and sequences are accurate before exporting your reports.

 

After the time clock(s) connect to TM2:

o   On that date, the status of your TM1 account will change to 'migrated' in our system. From that moment onward, the access will be read-only, and no modifications —including clocking actions— will be possible.

o   Resetting password to access your TM1 account will no longer be possible. Please make sure to verify and save your password before your time clock(s) connect to TM2.

o   Employees must not log in to legacy.timemoto.com (TM1) or use the TimeMoto TM1 mobile app anymore (see page 11).

6. How do I grant my employees access to TM2? Where should they log in from now on? Do they need to download a different mobile app to clock in online?

Employees can continue accessing TM2 to:

  • Check their data in view-only mode (privilege: User),

  • Manage the system (privilege: Supervisor — called Manager in TM2 — or Manager — called Unit Supervisor in TM2),

  • Clock in online (via web browser in a PC or using our mobile app TimeMoto TM2).

 

In TM2 Plus, employees with User privilege can also be granted permission to view the planning of employees within the same department, location, or even all employees. Additionally, employees with User and Unit Supervisor privileges can request absences online. 

 

·       Access depends on the permissions employees had in TM1 or any subsequent changes made in TM2. The possible access levels are:

  • No access to the platform or online clock-in,

  • Access to platform only (view and/or manage data based on privilege),

  • Access to both platform and online clock-in.

 

·       To enable access to TM2:

o   Invite employees to TM2 during (invite all) or after migration via each employee’s card (see image below), the term used for user profiles in TM2.

o   They’ll receive an email to activate their new account and set a login password. They should not register any account themselves.

 

·       Once the employee’s account is activated:

o   Employees can log in at:  https://cloud-eu.timemoto.com

o   If authorized, they can clock in via web browser (PC) and/or using the TimeMoto TM2 mobile app, available on Google Play and the App Store.

7. What changes should I expect in my billing with TimeMoto Cloud 2 (TM2)?

  •  A new invoice will be issued during the data transfer, initiating a new billing cycle.

Example: For an annual plan, if migrated on 31-07-25, the invoice period will show: "31 July 2025 – 31 July 2026".

  • A discount for the first two years will be applied to match your current TM1 license(s) pricing (if you maintain an annual license and an equivalent plan with the same number of employees in TM2).

  • Starting from year three, TM2 prices will apply. Please visit our site for more information about Cloud Pricing:

  • If your TM1 license(s) has not expired and one or more months remain, a pro-rated discount will be applied to the initial TM2 invoice.

  • If you change your plan and/or the number employees (called also seats) during or after the migration, the maximum discount applied will be equal to the original discount amount —not percentage based.

  • If the price of the new plan or number of employees (seats) is lower based on TM2’s current pricing than what you currently pay under TM1 terms, TM2 pricing will apply.

 

Example (referring to the last two points)

  • During migration, you’ll need to set up your preferred payment method. In TM2, the only available methods are:

  • Credit Card

  • SEPA Direct Debit

Bank transfer is not available.
