How time rounding works and how to apply it fairly

Rounding time is meant to simplify time tracking. Instead of recording every exact minute, clocking times are adjusted to a set interval or to the start and end of a scheduled shift. For example, someone who clocks in at 08:58 might be registered as starting at 09:00.

That sounds straightforward, but it rarely plays out that way. People arrive slightly early, stay a few minutes longer, or adjust their time afterwards. Each of these situations still requires a decision about how rounding is applied.

The rule sets the boundary. The outcome depends on how those situations are handled. When similar cases lead to different results, people notice.

Choose a rounding approach that fits how people work

Once you use rounding, you need to decide how it works in practice.

Interval rounding adjusts clocking times to a fixed interval such as 5, 10 or 15 minutes. A clock-in at 09:07 can be rounded down, up, or to the nearest interval. This approach works well when small variations are part of the day.

Fixed rounding ties adjustments to the start and end of a shift. Arrivals within a set window are rounded to the scheduled start time, and clock-outs shortly after the end of a shift are adjusted back. This works better when working hours are structured.

Both approaches are valid. What matters is that the method reflects how your team actually works. If the rule constantly needs exceptions, it is not the right fit.
