Five Time and Attendance Resolutions to Start 2026 Strong

Manage time better in 2026

Optimising how employees clock in, how you track hours, and how you manage absences and reporting can have a resounding impact on your organisation. These improvements save time and money while creating predictable and reliable processes for everyone involved.

Many organisations use the new year to reset priorities and strengthen de habits that support their daily operations. Research also shows that employees are more receptive to process changes at the start of a new cycle – this is called the ‘fresh start effect’. Knowing this, January is a natural moment to introduce improvements. If you want to make time and attendance part of your business resolutions, we’ve got a few for you:

1. Keep clocking flexible, but rules simple

There are many ways for your employees to clock in and out of work. For example, with TimeMoto it’s possible to use the TimeMoto mobile app, the web service, and on-site clock-in terminals with RFID badges or keyfobs, PIN, or fingerprint – among other user authentication methods. This is ideal for employees that are often on the move, or do remote work. With the geofencing feature, it’s easy to establish a safe work from home policy.

While this flexibility is great, you should also not forget to keep clear rules. Our advice for 2026: keep the options, but make the basics simple and explicit. Be clear about the following things:

  • Which methods are allowed for which roles

  • When people must clock in and out

  • How breaks are registered

  • What to do if someone forgets to clock

Write your policy for time tracking down in plain language and share it with your team. If done correctly, employees can still retain flexibility to choose what fits their roles and routines, while you get consistent, reliable data. At the same time, you have defined clear answers to some frequently asked questions about breaks, clocking in-out times, and how to correct errors.

2. Set weekly reviews and approvals

End of month surprises usually happen because nobody has really looked at the hours. Set a weekly moment for managers to review worked hours and approve time off for their teams. It can be ten minutes on the same day each week.

For TimeMoto Cloud users, that means logging into the web service and take a look at you team’s worked hours and absences, instead of leaving everything until just before the payroll-cutoff. Weekly approvals keep control high and reduce last minute stress for HR and finance.

3. Cut out duplicate work

If you find yourself entering or checking the same information in more than one place, there is an opportunity to save time. In 2026, make it a habit to spot and remove duplicate steps. TimeMoto makes it easy to manage all your time & attendance data in one place.

That might mean replacing informal messages with proper requests in your system, or stopping the habit of copying data from one spreadsheet into another. With TimeMoto, you can lean on built in workflows for absence requests, scheduling and reporting instead of maintaining side lists in other tools. The more you centralise, the less rework you do.

4. Give employees more self-service

Every time an employee asks HR to check and confirm their hours, it costs time on both sides. Resolve to give employees more control over their own information.

If you already use TimeMoto, encourage staff to use TimeMoto Cloud or the mobile app to view their hours, holiday balances and requests. If you need information on where to find these, check out our support articles on Holiday Balance and the Timesheets.

A short reminder in January or a simple “how to” guide for the team can significantly reduce routine questions and corrections throughout the year.

5. Review your reports once a month

Time records are a useful source of management insight. In 2026, pick one moment each month to look at basic patterns. How much overtime do your employees work? Is it more than the previous month, and what does this mean for your business? Do you notice frequent absences? What are the busy days, and when are quiet days?

TimeMoto Cloud offers multiple report types and filtering options. Ranging from the timesheets that are available in all Cloud Plans, advanced reports available in the Essential Plan and Plus Plan, such as the pay & overtime report, and project clocking report . Over time, these quick reviews help you adjust staffing, smooth workloads and plan more confidently, instead of relying on gut feeling alone.
